17Standard (Transactly)
32TPJG EXTRA
49Total TPJG seller tasks classified (Listing + Under Contract)
Standard (Transactly) built into Transactly's generic plan added/customized by TPJG, not in the generic plan
Who is responsible: Coordinator the transaction coordinator — all admin/operational/process work (emails & templates, MLS & CRM data entry, scheduling, ordering, compliance & commission submissions, status updates, follow-ups with lender/title/inspector, document collection) Agent the real estate agent (realtor) — tasks needing the licensed agent's judgment or client relationship (pricing/CMA strategy, listing presentation, negotiation, advising the client, conducting showings, offer/contract strategy) Coordinator + Agent the agent decides/directs, the coordinator executes
How to read this: Transactly ships two generic seller-side plans — a Listing plan (17 tasks) and a Seller Under Contract plan (31 tasks). TPJG kept both phases but rebuilt them. As on the buyer side, the dominant TPJG pattern is a stack of "EMAIL:" tasks and "Email Joe with … Status Update" tasks. Per Joseph, several "EMAIL:" tasks are tasks where the email body is a link the coordinator copies and pastes to a saved TPJG template — surfaced below where the PDF shows it. TPJG also bakes in tool-specific steps (KW Command, dotLoop/Jointly, ShowingSmart, Homes.com Matterport, $495 + $10 KW Cares) and hard listing rules (e.g. SOLD rider only at $400K+, delete all but first 6 MLS photos before closing).
Section 1 — Listing Coordination (pre-contract)
Getting the listing live
| Task (as written in the autoplan) | Status | Owner | What TPJG does |
| Order signage | | Coordinator | TPJG orders the yard sign as an explicit first step. Transactly's generic plan only has "Coordinate sign installation" later in the list. |
| Schedule Photos *Send calendar invite to agent | Standard (Transactly) | Coordinator | Maps to Transactly's "Schedule photography" — TPJG adds the rule to send the agent a calendar invite. |
| Coordinate sign installation *Update date on excel doc | Standard (Transactly) | Coordinator | Same as Transactly's "Coordinate sign installation" — TPJG adds tracking the target date on the Excel doc. |
| Obtain signature on all required disclosures for the property | Standard (Transactly) | Coordinator | Same as Transactly's "Obtain signature on all required disclosures." |
| Gather survey & T47 from seller/listing agent | | Coordinator | TPJG proactively collects the existing survey + T-47 at listing time. Not in Transactly's generic listing plan. |
| Ask about any special showing instructions | | Coordinator | TPJG captures showing instructions explicitly. Not a discrete task in the generic plan. |
| Enter the listing in DRAFT form in the MLS for agent review | Standard (Transactly) | Coordinator + Agent | Same as Transactly's "Enter the listing in DRAFT form in the MLS for agent review." |
| Setup Showing Smart + SEND Screenshot to agent with MLS draft | | Coordinator | Tool-specific: TPJG uses ShowingSmart and requires sending the agent a screenshot alongside the MLS draft. Transactly's generic step is just "Setup showing scheduler." |
| List Property in the MLS | Standard (Transactly) | Coordinator + Agent | Equivalent to Transactly's go-live (it has "Send 'Listing is Live' email"); TPJG names the live-listing action itself. |
| Submit listing paperwork to KW Command | | Coordinator | KW-Command-specific. Transactly's generic step is the tool-agnostic "Submit required listing paperwork in compliance." |
| Ensure seller coverage has been added | Standard (Transactly) | Coordinator | Maps to Transactly's "Order Home Warranty Listing Coverage, if applicable." |
| Add weekly analytic emails (Homes.com) | | Coordinator | TPJG turns on Homes.com weekly analytics emails for the seller. Not in the generic plan. |
| Order matterport on homes.com | | Coordinator | TPJG orders a Homes.com Matterport 3D tour. (Joseph's note in the email thread: Homes.com will NOT do Matterport on a pending property — so this must happen while Active.) Not in the generic plan. |
| Schedule open houses + Send calendar invite for open houses | Standard (Transactly) | Coordinator | Maps to Transactly's "Add open houses to MLS" — TPJG adds the calendar-invite step. |
| Coordinate signatures for listing contract amendments | | Coordinator | Ongoing amendment-signature handling. Not in the generic listing plan. |
| Make changes to the MLS Listing (as instructed by agent) | | Coordinator + Agent | Standing task for agent-directed MLS edits. Not in the generic plan. |
Transactly-standard LISTING tasks TPJG did NOT carry over as named tasks: "Send Intro email to Seller," "Review listing contract and obtain missing initials/signatures," "Schedule stagers if applicable," "Order Preliminary Title if applicable," "Upload disclosures/supplemental forms to MLS," "Send 'MLS Review' email to agent," "Upload photos to MLS," "Assign lockbox in MLS," and "Send 'Listing is Live' email to seller." Several are likely folded into TPJG's "List Property in the MLS" / SOP steps, but I can only confirm they are absent from the TPJG Listing PDF — not where each was re-homed.
Section 2 — Seller Under Contract (contract to close)
Acceptance & status (Day 0)
| Task | Status | Owner | What TPJG does |
| Change the MLS status to Option Pending | Standard (Transactly) | Coordinator | Maps to Transactly's "Change status to Pending in MLS." TPJG specifies Option Pending. |
| Distribute survey/T47 | | Coordinator | TPJG distributes the survey/T-47 to the other side at UC. Not a discrete task in the generic seller plan. |
| Ensure executed contract loaded to loop (Keri) | | Coordinator | TPJG requires the contract in dotLoop ("loop"), owned by Keri. No contract-platform step in the generic plan. |
| EMAIL: WELCOME ALL PARTIES | | Coordinator | Copy-paste email template. Replaces Transactly's separate "Intro to title / Intro to buyer's agent" tasks with one branded welcome email. |
| EMAIL: Seller Accepts Contract | | Coordinator | Copy-paste email template. Client-facing acceptance email from the saved template. |
| Email Joe with AO Status Update | | Coordinator | Internal status loop to Joe at Acceptance of Offer. Transactly has no report-to-owner step. |

| In Jointly - slide deal over to PENDING | | Coordinator | Tool-specific: move the deal to PENDING in Jointly. Not in the generic plan. |
Contract management & compliance
| Task | Status | Owner | What TPJG does |
| EMAIL: Commission Update to Title + Remind to send CD to Joe for review BEFORE client | | Coordinator + Agent | Copy-paste email template. Combines a commission-to-title email with the hard TPJG rule that the CD goes to Joe before the client. |
| Obtain missing signatures, initials and documents | Standard (Transactly) | Coordinator | Maps to Transactly's "Review paperwork for accuracy and obtain missing initials/signatures/docs." |
| Reach out to title company to make sure everything is on track | Standard (Transactly) | Coordinator | Equivalent to Transactly's "Intro to title" / escrow opening-package confirmation. |
| Order SOLD Sign rider (ONLY if listing is $400K+) | | Coordinator | TPJG conditional rule: order the SOLD rider only on listings $400K+. Not in the generic plan. |
| Email Joe with Pending Status Update | | Coordinator | Internal status loop to Joe at the pending milestone. |
| Ensure earnest/option money is delivered and receipted | Standard (Transactly) | Coordinator | Maps to Transactly's "Send EM Receipt to applicable parties." |

| Confirm HOA Docs have been ordered | Standard (Transactly) | Coordinator | Same as Transactly's "Ensure HOA/Resale documents have been ordered." |
| Submit all files to KW Command | | Coordinator | KW-Command-specific compliance submission. Generic plan says "Open transaction in broker compliance system." |
| Follow-Up with Lender (recurring — 3×) | | Coordinator | TPJG schedules repeated dated lender follow-ups (04/05, 04/12, 04/19) on the seller side. Transactly has none. |
| Submit commissions in Command *$495 + $10 KW Cares | | Coordinator | KW-Command-specific with the exact $495 + $10 KW Cares figures. Generic "Send Commission Disbursement Form" carries no amounts. |
| Ensure HOA documents were delivered | Standard (Transactly) | Coordinator | Maps to the generic HOA/Resale-documents check. |
Closing run-up & close-out
| Task | Status | Owner | What TPJG does |
| EMAIL: One Week to Closing | | Coordinator | Copy-paste email template. Replaces Transactly's plain "Send '1 Week to Closing' email." |
| Remind title to send CD to Joe for review BEFORE client | | Coordinator + Agent | Hard rule: CD to Joe first, before the client. Transactly only "Confirm CD signed." |
| EMAIL: Commission Update to Title + Remind to send CD to Joe | | Coordinator + Agent | Copy-paste email template. Second commission-to-title email near closing, with the CD-to-Joe reminder. |
| Verify close date in MLS and update if there's been an extension | | Coordinator | TPJG keeps the MLS close date in sync with any extension. Not in the generic plan. |
| Confirm CD and settlement statements are distributed prior to closing | Standard (Transactly) | Coordinator | Maps to Transactly's "Send Closing Statement to client for review." |
| Send Agent Calendar Invite for Closing | Standard (Transactly) | Coordinator | Maps to Transactly's "Schedule closing." |
| Confirm with lender funds at title one business day prior | | Coordinator | TPJG funding-timing safeguard (funds one business day before closing). Not in the generic plan. |
| CONFIRM TITLE HAS DOCS FOR CLOSING | | Coordinator | Explicit pre-closing doc confirmation. Not a discrete generic task. |
| Confirm closing and funding | Standard (Transactly) | Coordinator | Equivalent to Transactly's "Get the final CD" close-out. |
| Order sign removal once CD/Statement distributed *Forward confirmation to co-agent; SEPARATE service order for lockboxes; DELETE all but first 6 photos before closing in MLS | | Coordinator | A packed TPJG-specific close-out: time sign removal to CD distribution, forward confirmation to the co-agent, file a separate lockbox service order, and delete all but the first 6 MLS photos before closing. Transactly's generic plan only has "Order sign down; if applicable." |
| EMAIL: Final Thank You to client | | Coordinator | Copy-paste email template. Branded thank-you vs Transactly's plain "Send 'Thank You' email." |
| Email Joe with Closing Status Update | | Coordinator | Final internal status loop to Joe. |
| Submit final closing documents and close file in KW Command | | Coordinator | KW-Command-specific close-out. Generic plan says "Close transaction in Transactly." |
Transactly-standard SELLER-UC tasks TPJG did NOT carry over as named tasks: "Share disclosures," "Enter all parties in Transactly team," several passive appraisal checks ("Appraisal Ordered? / Scheduled? / Passed?" and the "Send 'Appraisal Ordered/Is In' emails"), "Confirm with escrow … opening package," "Order Home Warranty," the "Cancel Utilities" email, "Collect repair receipts," "Send the CDA to title," and the post-close "Change status to Sold in MLS." Some are likely covered in TPJG SOPs or the listing plan; confirmed only as absent from the TPJG Seller-UC PDF.
Honest parsing notes. These are Transactly screen-export PDFs; the left "Related Actions" sidebar interleaves with the task column, so I reconstructed task names from the visible lines (wording is verbatim where legible). "Standard vs EXTRA" is judged by whether the TPJG task has a clear 1:1 match in Transactly's generic plan. Where TPJG only added a date, recipient (Joe), tool (KW Command, dotLoop/Jointly, ShowingSmart, Homes.com), dollar amount, or copy-paste template, I marked it EXTRA. A few rows (e.g. "Reach out to title company …") are light expansions of generic checks and were classified as Standard.
