12Standard (Transactly)
25TPJG EXTRA
37Total TPJG buyer tasks classified
Standard (Transactly) built into Transactly's generic plan added/customized by TPJG, not in the generic plan
Who is responsible: Coordinator the transaction coordinator — all admin/operational/process work (emails & templates, MLS & CRM data entry, scheduling, ordering, compliance & commission submissions, status updates, follow-ups with lender/title/inspector, document collection) Agent the real estate agent (realtor) — tasks needing the licensed agent's judgment or client relationship (pricing/CMA strategy, listing presentation, negotiation, advising the client, conducting showings, offer/contract strategy) Coordinator + Agent the agent decides/directs, the coordinator executes
How to read this: Transactly's generic buyer plan is a single "Under Contract" list of 34 tasks. TPJG renamed the phase "Contract to Close" and rebuilt the list to 38 tasks. The biggest TPJG pattern: a stack of "EMAIL:" tasks and "Email Joe with … Status Update" tasks. Per Joseph, several of these are tasks where the body of the email is a link the coordinator copies and pastes to a saved TPJG template — surfaced below where the PDF shows it. TPJG also bakes in KW-specific compliance (KW Command, dotLoop/Jointly, $495 + $10 KW Cares) that the generic plan leaves blank.
Order of Acceptance & Earnest (Day 0)
| Task (as written in the autoplan) | Status | Owner | What TPJG does |
| Ensure a copy of executed contract has been loaded to loop (Keri) | | Coordinator | Transactly has no contract-platform step. TPJG requires the executed contract loaded into dotLoop ("loop"), and names Keri as the owner of that compliance copy. |
| EMAIL: WELCOME ALL PARTIES | | Coordinator | Copy-paste email template. Transactly's nearest equivalents are separate "Intro to title / lender / listing agent" tasks. TPJG collapses these into one branded "Welcome All Parties" introduction email the coordinator sends from the saved template. |
| EMAIL: Commission Update to Title | | Coordinator | Copy-paste email template. Sends title the commission figures up front. Not in Transactly's generic plan. |
| Email Joe with Option Pending Status Update | | Coordinator | Internal status loop to Joe. Transactly has no "report to broker/owner" step at all — TPJG adds status emails to Joe at every milestone. |
| EMAIL: Buyer Under Contract | | Coordinator | Copy-paste email template. Client-facing "you're under contract" email from the saved template. |
| Request earnest payment (Earnnest Partner Portal) | Standard (Transactly) | Coordinator | Transactly's built-in "Request Earnest Payment" action via the Earnnest portal. Kept as-is. |
| Ensure earnest/option money is delivered and receipted | Standard (Transactly) | Coordinator | Maps to Transactly's "Instruct to deposit Option Money" + "Send EM Receipt to Applicable Parties." |
| Check client submission sheet for any referrals | | Coordinator | TPJG mines each deal for referral leads. No referral-capture step exists in Transactly's generic plan. |
Inspection / Appraisal / Financing window
| Task | Status | Owner | What TPJG does |
| Follow-Up with Lender (recurring — 3×) | | Coordinator | TPJG schedules repeated, dated lender follow-ups (03/15, 03/22, 03/29). Transactly only has passive milestone checks ("Appraisal Ordered?", "Appraisal Scheduled?"). |
| EMAIL: Commission Update to Title | | Coordinator | Copy-paste email template. A second commission-update email later in the window. |
| Submit commissions in Command *$495 + $10 KW Cares | | Coordinator | KW-Command-specific: enter commission with the exact $495 transaction fee + $10 KW Cares deduction. Transactly's generic "Send Commission Disbursement Form" carries no amounts. |
| Ensure HOA documents were delivered | Standard (Transactly) | Coordinator | Maps to Transactly's "Ensure HOA/Resale documents have been ordered." |
| EMAIL: Utility and Moving Services | | Coordinator | Copy-paste email template. Replaces Transactly's passive "Confirm Utility Information was sent to buyer from Connect" with an active TPJG-branded utility/moving email. |
| Obtain missing signatures, initials and documents | Standard (Transactly) | Coordinator | Maps to Transactly's "Review paperwork for accuracy and obtain missing initials/signatures/docs." |
| Order home warranty, if applicable | Standard (Transactly) | Coordinator | Same as Transactly's "Order Home Warranty." |
| Get copy of home warranty confirmation for file | | Coordinator | TPJG adds a separate file-documentation step beyond just ordering the warranty. |
| Submit all contract files to brokerage compliance system | Standard (Transactly) | Coordinator | Maps to Transactly's "Open Transaction In Broker Compliance System" / "Clear compliance for closing." |
Pending → Closing run-up
| Task | Status | Owner | What TPJG does |
| EMAIL: Buyer Pending | | Coordinator | Copy-paste email template. Client "your purchase is pending" email from the saved template. |
| Email Joe with Pending Status Update | | Coordinator | Internal status loop to Joe at the pending milestone. |
| Send client preparing for closing email | Standard (Transactly) | Coordinator | Maps to Transactly's "10 days to closing check-in" / "5 days before closing" client emails. |
| Remind title to send CD to Joe for review BEFORE client | | Coordinator + Agent | TPJG inserts a hard rule: the Closing Disclosure goes to Joe for review first, before the client ever sees it. Transactly just says "Confirm CD signed." |
| EMAIL: One Week to Closing | | Coordinator | Copy-paste email template. Replaces Transactly's plain "Send '1 Week to Closing' email" with the TPJG-branded template. |
| Confirm buyer's lender has provided clear to close | Standard (Transactly) | Coordinator | Same as Transactly's "Confirm Clear to Close." |
| Send calendar invite for closing *include client | Standard (Transactly) | Coordinator | Maps to Transactly's "Schedule closing" — TPJG specifies a calendar invite that includes the client. |
| Send Agent calendar invite for final walk through *include client | Standard (Transactly) | Coordinator | Maps to Transactly's "Schedule final walkthrough" — TPJG specifies an agent calendar invite including the client. |
| Confirm CD and settlement statements are distributed prior to closing | Standard (Transactly) | Coordinator | Maps to Transactly's "Send Closing Statement to client for review." |
| Reach out to title to ensure everything is on track for closing | | Coordinator | Active title check-in. Not a discrete task in Transactly's plan. |
| Confirm with lender funds at title one business day prior | | Coordinator | TPJG-specific funding-timing safeguard (funds must land one business day before closing). Not in the generic plan. |
| Send buyer final walkthrough form to sign | | Coordinator | TPJG sends a dedicated walkthrough form for signature. Transactly only "schedules" the walkthrough. |
| CONFIRM TITLE HAS DOCS FOR CLOSING *If not - inform agent | | Coordinator | Explicit pre-closing doc-confirmation with an escalation rule to the agent. |
Closing & Post-Close
| Task | Status | Owner | What TPJG does |
| Confirm closing and funding | Standard (Transactly) | Coordinator | Equivalent to Transactly's "Get the final CD" / close-out step. |
| Submit and close file in KW Command | | Coordinator | KW-Command-specific close-out. Transactly's generic plan says "Close transaction in Transactly." |
| EMAIL: Final Thank You to client | | Coordinator | Copy-paste email template. Branded thank-you vs Transactly's plain "Send 'Thank You' email." |
| Email Joe with Closing Status Update | | Coordinator | Final internal status loop to Joe. |
| Enter client name(s) into tab/clients in Client For Life / One Year Program post transaction | | Coordinator | TPJG's retention machine: every closed client is enrolled in the Client For Life / One Year Program. No post-close nurture step exists in Transactly's generic plan. |
| Ensure listing agent has closed listing in MLS | | Coordinator | Cross-side verification (buyer's TC confirms the other side closed the MLS listing). Not in the generic buyer plan. |
| Submit all contract files to KW Command | | Coordinator | Final KW-Command file submission (dated 04/23, after close). KW-specific. |
Transactly-standard buyer tasks TPJG did NOT carry over (or folded in): the generic plan's discrete "Intro to title / lender / listing agent" tasks are folded into the single "EMAIL: WELCOME ALL PARTIES." The generic "Send inspectors list to buyer," "Coordinate inspection," "Send Home Insurance Email," "Confirm with escrow … opening package," "Send 'Appraisal Ordered' email," and the separate "Send the CDA to title" step do not appear as named tasks in the TPJG Contract-to-Close list — these may be handled in the (separate) listing/seller plan or in TPJG's SOPs rather than dropped outright. Flagging honestly: I can confirm they are absent from the TPJG buyer PDF, not where they were re-homed.
Honest parsing notes. The PDFs are Transactly screen exports, so column text interleaves (the left "Related Actions" sidebar bleeds into the task list). I reconstructed task names from the visible lines; the wording above is verbatim from the PDF where legible. "Standard vs EXTRA" is classified by whether the TPJG task has a clear 1:1 match in the Transactly generic plan. A handful of tasks (e.g. "Reach out to title to ensure everything is on track") are arguably light expansions of generic checks rather than brand-new work — I classified those as EXTRA only where TPJG added a specific rule, recipient (Joe), tool (KW Command, dotLoop), dollar amount, or copy-paste template.
